Spectrum’s Accreditation Project has begun and will be a focus for the whole organization over the next 10 months as we prepare for a complete survey of our services in March 2006.

Process Documentation Update:

Our Process Documenter, Lisa Warren, is documenting all aspects of the “flow of operations” at Spectrum - all of the policies, procedures and tasks for all levels of the organization, from administration and finance, to human resources, to direct services.  The end result will be a comprehensive operations manual that we’ll use to compare our existing systems to the CARF standards.  Documenting our existing processes will help focus our time and energy on changing only those areas that need to change in order to satisfy CARF.  Our goal is to preserve as much flexibility as we can, not to become more a bureaucratic organization.

Individual planning

One of the basic requirements of CARF, and of our funders, is that each person in our services needs to have an individualized plan that outlines goals and expected outcomes for their service.  The plan needs to be reviewed on a regular basis and updated once a year.  Some people follow the MCFD Personal Service Plan (PSP) format for their planning meetings, while others use PATHs or other formats.  We encourage people to follow a format they feel comfortable with.  We realize that not everyone is comfortable having big, structured meetings.  The important thing is that decisions get documented and that there is a plan in place that outlines the individual’s goals and priorities.

The program manager is responsible for organizing the annual planning meetings, and for helping the person to identify goals and strategies for achieving their goals.  The manager and staff track progress on the individual plans through in-house daily recording, ongoing communication with the individual and family, team meetings, and quarterly reports. 

We had an all-managers meeting in April to discuss individual planning.  The managers went back to their programs to start reviewing the plans that are currently in place for each individual.  Later this month, we’ll be having a follow-up meeting to talk more about different types of planning meetings and how to write up meaningful goal statements. 

Open Forum – June 30th at Bonsor Recreation Centre

We’ll be holding an open forum for people to learn more about accreditation.  Please join us at the Bonsor Recreation Centre on Thursday, June 30th at 7:00 p.m. (upstairs – multipurpose room).  Bonsor is located across from the Bay at Metrotown, just behind the Metrotown skytrain station.
